The Opportunity
This role is central to patient flow and administrative operations. You will support leadership, coordinate scheduling, manage documentation, assist with insurance and billing processes, and serve as a primary point of contact for patients, staff, and insurance partners.
What You’ll Do
Leadership & Administrative Support
- Support the Director of Nursing and Executive Director with daily operations, payroll, accounts payable, special projects, and other assigned duties
- Greet and check in patients and visitors
- Answer patient and family questions
- Answer, route, and manage phone calls and messages
- Schedule patients; adjust surgical schedules for cancellations and notify staff
- Print and maintain daily physician and nursing schedules
- Prepare, file, scan, and maintain complete surgical charts and patient records
- Mail new patient paperwork; manage incoming and outgoing mail
- Enter and maintain accurate patient information
- Verify insurance and assist with HCFA 1500 claim form preparation and accounts receivable collections
- Enter daily charges, maintain petty cash counts, and work with insurance companies to obtain required numbers and codes
- Maintain daily statistical logs, including physician, procedure, and register indexes
- Monitor no-show appointments and send required patient communications
- Track office and building supply inventory
- Maintain strict patient confidentiality at all times
- Are organized, detail-oriented, and patient-focused
- Communicate clearly and professionally in a healthcare setting
- Can work independently while supporting a collaborative team
- Value confidentiality, ethics, and accuracy
- High school diploma or GED required
- At least one year of administrative experience required
- Experience in a healthcare facility preferred
- Basic Life Support (BLS) certification preferred
- Strong verbal and written communication
- Excellent customer service and interpersonal skills
- Proficiency with Microsoft Office or related software
- Knowledge of clerical systems, medical terminology, and office ethics
- Ability to stand and/or walk for extended periods; speak and hear with or without accommodation; use hands and arms for handling and reaching; lift up to 10 lbs frequently and 25 lbs occasionally; push up to 300 lbs; and maintain vision abilities including close vision, depth perception, and focus adjustment.
