Practice Administrator
Responsible for directing, coordinating and controlling all aspects of the operating functions, processes, and staff of the practice while demonstrating the primary goal of efficiently providing services that exceed patient expectations and improve clinical and financial operations.
Compensation: $85, 000 - $95,000 annually
Essential Duties and Responsibilities:
Manages the daily operations of the practice and all departments.
Manages the reception/clinical area to ensure telephone, mail and email communications internally and externally to maintain professional image.
Manages company Vision, EMR- for orders, patient information, EMR/PM- viewing at who is scheduled, sign-on for different insurance sites.
Serving, along with any committee appointed for the purpose, as a liaison between the Administrator, the medical staff and all departments of the facility.
Reporting pertinent activities concerning the practice to the Administrator.
Planning for the services provided by the practice and the operation of the practice.
Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
Oversees petty cash fund.
Maintains inventory of office supplies; orders new supplies as needed.
Maintains office files; implements an efficient system for other staff to access files and records.
Hold at least monthly staff meetings to outline goals and priorities of the practice.
Manages exempt and non-exempt employees in accordance with the practice policies utilizing sound principles of practice and fairness.
Review employee performance as evaluated by their respective managers, ensuring that reviews occur as scheduled or at least annually for each employee.
Review and approve the disciplinary action and/or discharge of employees.
Evaluate management performance and other staff as designated.
Implement job-based orientation, training, and ongoing evaluation program for all employees.
Promote positive relationships between employees and practitioners.
Ensure compliance with policy and procedures.
Foster positive work relationships among all departments of the facility and act as liaison between leadership and all staff at the facility.
Performs other related duties as assigned.
Oversees the daily work activities of the practice.
May handle or assist with discipline and termination of employees in accordance with company policy.
High school diploma or GED required; Associates degree in office administration or related field preferred.
At least three years of administrative and clerical experience required.
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Strong analytical and problem-solving skills.
Proficient with Microsoft Office Suite or related software.
Extensive knowledge of office management procedures.
Excellent time management skills with a proven ability to meet deadlines.
Required to sit for long periods.
Must be able to communicate with or without reasonable accommodations – speak and hear.
Able to use both hands to finger, handle, or feel, and reach with hands and arms.
Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
Specific vision abilities required by this job include close vision, depth perception and ability to adjust focus.
