Summary: 

Maintains office services by organizing office operations and procedures; designing filing systems, and monitoring clerical functions


Essential Duties and Responsibilities: 
  • Manages the reception area to ensure telephone, mail and email communications internally and externally to maintain professional image. 
  • Manages Vision, EMR- for orders, patient information, EMR/PM- viewing at who is scheduled, sign-on for different insurance sites.
  • Ensures update to date list of insurance carriers that require authorization, time frame and requirements.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
  • Oversees petty cash fund.
  • Maintains inventory of office supplies; orders new supplies as needed.
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Performs other related duties as assigned
Supervisory Responsibilities: 
  • Oversees the daily work activities of the office.
  • May handle or assist with discipline and termination of employees in accordance with company policy
Education & Experience:
  • High school diploma or GED required, associate's degree in office administration or related field preferred.
  • At least three years of administrative and clerical experience required.
Required Skills & Abilities:
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software.
  • Extensive knowledge of office management procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
Physical Demands:
  • Required to sit for long periods.
  • Must be able to communicate with or without reasonable accommodations – speak and hear.
  • Able to use both hands to finger, handle, or feel, and reach with hands and arms. 
  • Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. 
  • Specific vision abilities required by this job include close vision, depth perception and ability to adjust focus
